Cybercrime targeting financial firms is on the rise. Accordingly, attention to data security matters should involve not only members of information technology staff but also risk management and compliance personnel, as well as the members of controller organizations and chief financial officers. Unauthorized Personnel Data security often depends on physical security at data centers. This involves ensuring that unauthorized personnel is kept out. Additionally, authorized personnel cannot be allowed to remove servers, laptops, flash drives, disks, tapes, or printouts, containing sensitive information from company locations. Similarly, controls should be in place to guard against unauthorized personnels viewing of sensitive information that is not needed in the discharge of their duties. Outside Vendors In addition to security protocols and procedures on your companys premises, the practices of outside vendors of data processing and transmission services must be scrutinized. For example, if a third party firm hosts your companys website, you must be concerned about its data security procedures. The Statement on Auditing Standards (SAS) No. 70, Service Organizations, certification is a common standard for adequate security procedures regarding internal networks, required by the Sarbanes-Oxley Act for publicly held information technology firms. Use of secure sockets layer (SSL) protocols are the standard for handling sensitive data securely online, such as the input of credit card numbers in payment for transactions. SSL is standard security technology for establishing an encrypted link between a web server and a browser. Network Security Best Practices Key aspects of network security that have an impact on data security are protections against hackers and the flooding of websites or networks. Both your in-house information technology group and your internet service provider (ISP) must have appropriate countermeasures in place. This is also a matter of concern for web hosting and payment processing companies. Outside vendors must demonstrate what protections they have in place. The best practices that characterize your companys data networks, data centers, and data management should also be in place at all outside vendors of data processing, payments processing, networking and website hosting services that work with your company. Before entering into any contract with a third-party provider, you should ascertain that it has the appropriate minimum certifications from independent outside bodies and conduct your own due diligence, led either by your companys own information technology personnel with the appropriate credentials  or by qualified outside consultants. Insurance Against Data Breaches As a final consideration, it is possible to purchase insurance against the costs associated with data security breaches. Yes.There are some really legitimate-sounding excuses that executives like me hide behind when it comes to Getting Stuff Done. Or “GSD” as they call it at HubSpot, my daughter Lindsay Kolowich’s hip, highly successful, and fast-growing software company headquartered in Boston. (Where “Stuff” is probably not GSD’s middle name.)According to Lindsay’s recent blog post “How Effective Managers Use Their Time: 9 Pro Tips from Real HubSpot Managers”, leaders at Hubspot who are thought to have “high GSD” have an uncanny ability to churn out the really crucial stuff, while doing end-runs around distractions which masquerade as important.Really crucial stuff is rarely the chowder on our to-do lists. Rather it involves the bigger, game-changing, or mission-critical items which boost your business or improve what people think about you or your products. It might include the strategic or operational plan for next quarter or next year. Or the paper, report, webs ite, or article which - once written and published - is likely to bring in new leads or additional funding sources. It might involve long-postponed check-in’s with top clients or employees. Or getting your recently-approved research project off the ground. Or making time to actually HIRE for your open team position (which you’re so busy back-filling for personally that you have no time to scan resumes.)So… what are the legitimate-sounding distractions that most typically get in our way?After talking with hundreds of executives in my leadership programs, here are what I find to be the big 3:1.  Other to-do list items.If you look closely, most to-do lists contain 1 or 2 “big rocks” (i.e. the really crucial stuff) and lots of pebbles.      The problem is that items of vastly different importance may each deliver one equal-sized dollop of self-satisfaction in the form of a “check mark.”      Especially to people like me, who are addicted to both their to-do lists AND to the process of accomplishing lots of things each day.      I’m not going to lie:    if I can shorten my to-do list by checking off 6 smaller items on my list over the next 60 minutes, I may put off that very important three-hour chore that’s going to take intense concentration and possibly leave me feeling I somehow got “fewer things” done today.    The solution?    First, recognize what’s happening. Then re-jigger your to-do list or time management strategy.    Prioritize more ruthlessly.    Consciously crown 1-2 items on your list as your “big rocks” each morning or each week.    Then set aside blocks of time for them â€" maybe early in the day before prime energy wanes or before you allow yourself to meander among smaller action items.    Or break each big, juicy, or  hairy-but-important  project into multiple smaller steps.    Then put THOSE sub-steps on your to-do list (Which â€" YEAH! â€" will each generate its  own lovely reward of a check mark, when done.)2.    Your direct reportsI know, I know.    I hear you reminding me over narrowed eyes that your “open door policy” is absolutely crucial to your leadership brand.    However, it is all-too-easy for a whole day to slither by while your most precious leadership asset â€" your time â€" gets eaten alive by others’ problems and opportunities.      Not your own.    But I know many leaders who will happily shut their door for an hour to meet with a direct report.      So why is shutting the door for their  own  projects so much more difficult?Many successful executives have calendars crammed wall-to-wall with meetings, so they’ve had to learn the essential 21st  century art of booking themselves on their own calendars for critical project work.    (Regularly tackling crucial projects late at night also works for some, but comes with a warning label and way too many long-term, unwanted side effects.)So don’t be shy.    After finishing this post, jump onto your calendar and book a 1- 2 hour time slot tomorrow for one of this week’s most important undone action items, and see how it feels.3. EmailYes, checking email in 2015 seems about as natural as breathing.    We’re on a high of “connection” the likes of which the world has never seen.    What if something - or someone - of great import floats into our inbox while we’re not looking?According to the Fortune article  Ã¢€œStop Checking Your Email Now“  by Laura Vanderkam,  a July 2012 McKinsey Global Institute report found the average office worker spends 28% of his/ her time (14 hours a week) handling email.How can you (and your direct reports) reclaim some of that time, with no ill effects?    Most experts sing the time-saving praises of “batch processing” email.      Which might mean checking email just three times a day.    Or if that makes you feel nervous â€" limit email processing to just 10 minutes of each hour.    Knowing you’ve got limited time, you’ll be more likely to write shorte r notes, gloss quickly over emails of lesser import, and replace long email-drafting exercises with quick phone calls / voicemails.So what’s standing between you …. and finishing YOUR most crucial initiatives?

As you meet your new team and getting to know the lay of the land. Here are some tips on how you should be treating the admins in your new job. Notice the colleagues you never see Some of us get so busy with a new job that we fail to notice the other people in the rooms. I am not talking about your co-workers or your other members. I am talking about the people we don't see; the admins, cooks, janitors, etc who work at a company. You rarely see them, yet their contributions to the company are of great importance. Most of us see these people around the office as a form of “nuisance maintenance manager”. We ask for them for something when it involves cleaning up something in the kitchen or cleaning up a mess. These very admins could be the business leaders of tomorrow, but as of now, they are making an impact on everyone’s life. So, the next time you see them give a smile. Find out what type of work the admins perform The next time you are early to work, if you see a dirty cup in the sink, please wash it or put it into the dishwasher. It won't take very long at all. Be mindful of the people that are working around you. The admins are the front line of their company. They are the first face you see in the morning and the last face when you leave. Trust me, I have seen them working hard. Their job is hard. Admins are making appointments, getting food, setting up events, cleaning up after us when we create a mess in the conference room. Admins deal with confrontation in ways you no longer experience. They do endless chores for us, sometimes even when they are the admin for another team. Admins keep smiling through it all and will help in any way they can around the office. We should be thanking them endlessly. Treat them like an office firefighter The next time you have a fire to put out and ask for their help, make sure you really need it. Be mindful of their duties for the day. Admins are very helpful, but they have priorities, too. It might be something you can do yourself. Ask them if they have the time and never assume they will do it for you. Remember they do much more than you realize! Be polite to the admins who magically make things happen Admins get everything done when it needs to be done. It’s like they have magic powers. Yes, I use the phrase “magic powers” because they make things happen now and fast. The next time you see an Admin, give them a high-five because they deserve it. And a long time ago, before you became a successful executive, you were an admin, too.

The CEO is smiling, and the top brass are all doing jigs around the boardroom. In your tiny cubicle, you bask in the glow of a job well done … and then nothing. Absolutely nothing. Or worse, maybe your manager or teammate gets a raise or a bonus, or the key to the corporate washroom while you languish in your cube wondering when you’ll have your moment in the sun.Unless you’re a ghostwriter, you need to have your name on your work. Authors do. Architects do. Even exclusive jewelry designers create a secret stamp or symbol to show people that they’ve purchased something unique and of value.Many of us are taught that same old trope about there being no I in team, but the reality is that if you’re trying to distinguish yourself at work, you really need to distinguish yourself at work. Simply doing a great job isn’t quite enough anymore. While no one loves a braggart, it’s important to always take credit for your best work- so that no one else does first.“You can take credit for your work without being a glory hog,” said Karen Swim, president of Solo PR Pro. “Be proactive by documenting your ideas and sharing them with your boss or workgroup. Ask how you can build on the idea and/or best execute it. This way, you own the idea but are also being a team player.”But what happens if you’re too uncomfortable to take credit for your huge and amazing accomplishment? Swim has a few ideas: “Taking credit for your work can feel uncomfortable for many people, but it’s critical to successfully managing your career.”She also says that you should “share your ideas with the right people, and be gracious in taking credit.” And you don’t have to be obnoxious about it, acknowledging the rest of the tea m makes you look like more of a pro and reminds them that their work is crucial and appreciated. “Don’t be afraid to share the spotlight with your team,” she adds.Then again, if the opposite happens and a colleague takes credit for your work, “Speak up! In the days and months following the Nov. 6, 2012, elections, a torrent of up to 7,000 jobs federal jobs will open up, to be filled by appointees of the incoming president, whether its Mitt Romney or President Barack Obama. These executive and staff-level jobs some subject to Congressional confirmation with a galaxy of federal agencies, offices and programs in the executive and legislative branches, are given to Americans who have demonstrated political loyalty to the president-elect and who possess the knowledge, skills and passion required by the specific position for which theyve applied.   These non-career jobs fall outside the Civil Service system. Interested parties can learn about the nature of appointee positions that might be vacated in early January, 2013, by visiting the Plum Book Presidential Appointee List of the U.S. Office of Personnel Management. The administration of the president to be inaugurated Jan. 20 will create a web page for applications for appointee positions. The Presidential Appointee Application Page is the Obama administrations current page for this purpose. Even if President Obama is re-elected, a good number of these positions will be vacated toward the end of the year as some incumbent appointees decide to leave the administration for other opportunities in Washington, their home states or elsewhere. The longer ones political relationship and the higher the official contact, the greater the chances that a qualified candidate will be chosen. The next step for aspirants is to research appointee positions and choose one thats well-suited to his or her professional background.
